St Andrew’s Church, Upper Leytonstone - Personal Data Policy
St Andrew’s takes the security of its holdings of personal data seriously in accordance with the provisions of the General Data Protection Regulation 2018. The Parochial Church Council has overall responsibility for the security of personal data collected by the Church and its associated organisations[1].
Personal data (eg names, postal and e-mail addresses, dates of birth, etc) is only collected where it is necessary to meet statutory requirements (eg information about contributors to the Planned Giving Scheme required by Her Majesty’s Revenue and Customs) or for the smooth-running of the Church and its associated organisations (eg lists of membership of the Parochial Church Council and its sub-committees etc.) Such data is only used for the purpose for which it was initially collected and is reviewed every two years to ensure that it is accurate and remains relevant. As part of these reviews, those holding personal data are reminded of their responsibilities with regard to its security.
The exception is the Electoral Roll, the primary purpose of which is to determine eligibility to vote at the Annual Parochial Church Meeting (APCM) but which may be used for a number of other purposes (eg informing members of the congregation about church services and other activities). The Electoral Roll is a statutory document which is revised annually and, after each revision, is required to be publicly displayed in the Church for a period and to be available, on request, at any time. Those appearing on the Roll have the option of having their entry anonymised in the publicly-displayed version and need to specifically opt in to having their details used for any purpose other than eligibility to vote at the APCM.
